Proof of delivery automation and exception handling

A proof of delivery only earns its keep when you can find it. Most PODs sit as photos in an inbox until a customer asks who signed for a shipment three weeks ago, and someone spends twenty minutes scrolling.

What to capture from a POD

PODs are short documents, but the few fields they carry decide claims and detention arguments.

  • Delivery date and time, including arrival and departure if noted
  • Receiver name and, where legible, signature status
  • Piece count delivered against piece count shipped
  • Condition notes: damage, shortage, overage, refused product
  • Exceptions written on the page, including OS&D remarks
  • The references that link it to the load: BOL, PRO or load number

Why phone photos are the hard case

A POD usually arrives as a photo taken in a cab at dusk: skewed, shadowed, partly handwritten. Fixed-template OCR struggles here, so extraction has to read the page contextually and tell you when it is unsure.

Exceptions deserve their own workflow

A clean POD can be filed and forgotten. A POD with damage or a short count needs to reach a person today, while the carrier's liability window is still open.

  • Flag any POD with condition notes or exceptions for review
  • Keep the extracted notes searchable alongside shipment references
  • Log who reviewed and approved the document, and when

Faster answers, fewer write-offs

Once POD data is structured, answering a customer becomes a search rather than an archaeology project — and invoices without matching delivery proof surface before they are paid.

How LogiDeck handles it

Upload PODs as PDFs or photos, and each one is classified and extracted into delivery fields with a confidence score. Review the fields next to the original image, correct anything, approve, and export the records as CSV or JSON.

Common questions

What is proof of delivery automation?
Proof of delivery automation turns signed PODs — including phone photos — into searchable records with delivery date and time, receiver, signature status and condition notes, so claims and customer questions are answered in seconds.
What fields should be captured from a POD?
Delivery date and time, receiver name and signature status, piece counts delivered versus shipped, condition notes such as damage or shortage, OS&D exceptions, and the BOL, PRO or load number that ties it to the shipment.
How do you handle PODs received as phone photos?
Use extraction that reads the page contextually rather than by fixed template. LogiDeck reads skewed, shadowed photos, scores its confidence, and flags the uncertain ones for a human to check.
How should POD exceptions be handled?
Flag any POD with damage, shortage or other condition notes for same-day review while the carrier's liability window is open, keep the notes searchable, and log who reviewed and approved the document.
